Where to Find Billing

Go to Settings in the left sidebar, then click Billing. This page shows everything about your account's billing status in one place.

You'll see:

  • Your current plan (Essentials or Professional)
  • Next billing date
  • Payment method on file
  • Billing history with downloadable invoices

Only workspace Admins can access this page.

Upgrading or Downgrading

Click Change Plan on the Billing page. Select the plan you want and confirm.

Upgrades take effect immediately. You get instant access to the new features, and you're charged a prorated amount for the remainder of your current billing period.

Downgrades also take effect immediately. If you're moving from Professional to Essentials, you'll lose access to forecasting, AI insights, and advanced segments right away. Any saved segments using Professional-only filters will be preserved but won't run until you upgrade again. You'll receive a prorated credit toward your next billing cycle.

No penalties, no contracts, no "call us to cancel" nonsense.

Viewing Invoices

Your full billing history appears at the bottom of the Billing page. Each invoice shows the date, amount, and plan. Click Download next to any invoice to get a PDF — handy for expense reports or passing through costs to clients.

Invoices come from Stripe, so they include all the standard details your bookkeeper expects.

Updating Your Payment Method

Click Update Payment Method on the Billing page. This opens Stripe's secure payment portal where you can add a new card or update an existing one. CohortGenie never sees or stores your full card number — Stripe handles all of that.

If a payment fails, you'll get an email notification with a link to update your card. There's a 7-day grace period before any service interruption.

Canceling Your Subscription

Click Cancel Subscription on the Billing page. Confirm the cancellation.

Here's what happens:

  • Access continues through the end of your current billing period. You've paid for that time and you'll get it.
  • Data is retained for 30 days after your access ends. If you change your mind, resubscribe and everything is still there.
  • After 30 days, your data is permanently deleted. QuickBooks connections are revoked and transaction data is purged.
