Data Not Appearing in Dashboard

When the Dashboard Shows Nothing
You've connected QuickBooks, the sync looks like it completed, but the dashboard shows zeroes or blank charts. Before you panic, run through this checklist. In my experience, it's almost always one of these six things.
The Checklist
1. Check Your Date Range
This is the most common cause. The dashboard displays data for whatever date range you've selected. If you're looking at the current month and your client had no transactions yet this month, you'll see zeroes.
Fix: Switch to Trailing 12 Months from the date selector. If data appears, your original date range was just outside the window of actual transactions. Adjust from there.
2. Check Sync Status
Go to the Integrations page and look at the last sync timestamp. If it says "Syncing..." or shows a time from hours ago, the sync may still be in progress or may have stalled.
Fix: If the sync is in progress, wait for it to complete. If the timestamp is stale and the status shows an error, see QuickBooks Sync Errors for specific fixes.
3. Verify the Connection Is Active
On the Integrations page, check for a green indicator next to the QuickBooks connection. Green means healthy. Yellow or red means the connection needs attention.
Fix: If the connection shows yellow or red, click Reconnect and go through the QuickBooks authorization flow again.
4. Confirm Transaction Types in QuickBooks
CohortGenie pulls revenue from invoices and sales receipts in QuickBooks. It uses transaction dates, not invoice creation dates or due dates.
Fix: Open QuickBooks Online and confirm the connected company has invoices or sales receipts with transaction dates in the period you're viewing in CohortGenie. If the company only uses estimates, purchase orders, or journal entries for revenue, those won't appear — CohortGenie needs actual revenue transactions.
5. Wait for Initial Sync to Complete
If you just connected the QuickBooks company within the last few minutes, the initial sync is likely still running. First-time syncs pull all historical transaction data, which takes longer than incremental updates.
Fix: Wait 5–10 minutes. Larger files with thousands of transactions can take up to 10 minutes. Refresh the dashboard after the Integrations page shows a successful sync.
6. Try a Manual Sync
Sometimes the nightly sync missed a window or an incremental update didn't catch recent changes.
Fix: Go to Integrations and click Sync Now. Wait for it to complete, then check the dashboard again.
